This article will provide details about the Event Management Phase
Introduction
The management phase allows you to review event information, manage student attendance, and generate event-specific reports.
There are six sections in the management phase:
- Excursion
- Settings
- Invitations
- Summary
- Attendance
- Review
Each section here has been populated by the event proposal and planning phases.
1. Excursion/Event
This section provides you with an overview of your event, similar to the proposal, including:
- Event Name
- Description
- Dates & Time
- RSVP Date
- Guardian Notes
- Event Contact
- Guardian Attachments
Changes can only be made to the RSVP Date in this section. To change any other information, please go to 4. Summary.
2. Settings
This section is a direct reflection of the Settings Tile in the planning phase, and changes made to this section will impact the event invitation.
3. Invitation
This section shows the parameters used to invite students to the event. If a student group, team or personal group was used to invite students, they can be edited here to add or remove students from the event.
4. Summary
This section provides a snapshot of the event invitation and allows you to Cancel or Duplicate your event if required.
5. Attendance
This section is used to manage your students invitations, send reminders or communications, and generate event specific reports.
6. Review
This section allows you to provide a post-excursion review after your event has taken place, to identify any hazards or feedback.
Additional Functions
In addition to these section, there are a few other functions in the management phase.
View Medical Summary button
Located at the top of the ribbon this button will categorise any student medical conditions by severity, for easy viewing.
View Planning button
Also located at the top of the ribbon this will take you back to the planning phase of the event.
Event Communication Log
Found under the megaphone icon, this shows all invitations, communications or reminders that were sent within your event.
Conclusion
This brief overview provides an understanding of the management phase. Within this section there is a "Show Me" button that provide a more detailed explanation of the area. If you are stuck, and see the below icon - click it! This will start a brief 1-2 minute video, providing you with further information.
