Permissions Module Overview

This article will provide an overview of the Permissions module within Consent2Go


Introduction

The Permissions module allows school's to create custom Yes or No questions that parent/guardians can respond to. 

This can be used for a variety of scenarios, such as school policy acknowledgement, adhoc consent forms, or specific permission questions. 


For example, 

  • "Do you give permission for your child to read Animal Farm as part of the Year 9 English Curriculum"

  • "You have read and agree to the attached school IT Policy.

Creating a Permission 

To add a permission question, go to the Permissions tab and follow the steps below:

  1. Select "Add New" at the top right of the screen
  2. Enter the relevant information to the question you would like to ask parents to provide a yes or no response to, Including:
    1. Permission Question
      This is the custom text that parent's will read before giving their response.
    2. Expiry Date
      This indicates how long the permission is relevant for (may be the whole year, or just one term).
    3. Y/N - Allow Guardians to upload supporting documents
      If yes is selected, parent's will be able to provide a document back to the school via this update.
    4. Y/N - Add a supporting document
      If yes is selected, the school can provide a document to the parents to review (for example, a policy document).
    5. Y/N - Boarders Only
      If yes is selected, the question will only appear for students that have the boarder flag associated to their profile.
    6. Y/N - Do you want to send this permission to the whole school?
      If no is selected, you will be able to choose the year levels this question is relevant to (for example, just the year 7 students).
      Please Note: This option does not filter what invitations are sent. If a question is relevant to one year level only, please filter the student list accordingly before sending.


  3. Once each field has been entered, click submit to add this to the list of permissions.

Sending a Permission in Bulk 

Follow the steps below to send Permissions requests to parents and guardians:
Please Note: These will need to be filtered by year group, unless they are going to the whole school.

  1. Go to the Students tab in the left hand menu, and filter the list as required
  2. Click the "Tools" button at the top right of the page
  3. From the drop down options, select "Request Permission Update"

  4. A pop-up will display, requesting an expiry date and an email note. Enter in the required details, and update the note as needed. When ready, select "Confirm"



Sending a Permission Individually

Follow the steps below to send a Permissions requests to a specific student:

  1. Go to the Students tab in the left hand menu, and locate the relevant student 
  2. Select "Actions" to the right of their record
  3. In the drop down options, select Permission Update Invitation
  4. Fill-in the pop-up as required and select "Confirm"

Viewing Permission Responses

The Permission list can be filtered by All | Active | Inactive. Which allows you to see permissions that are currently being used, ones that have been used in the past, and all permissions created in the school.


Each permission can be expanded to view the responses given by parents and guardians. To see the responses, select the green arrow beside the question, to display the below dropdown:

This section allows you to view the 'Yes', 'No' and 'No Responses' given by parents and guardians. You can also filter by year group, or utilise the search bar to find individual responses.


Managing Permission Questions

Permissions can be edited, deleted and exported after creation. These options are available by clicking the 'Actions' button to the right of the question:

Please be aware that this will not remove the email sent to parents/guardians, but will simply remove the question from requesting an answer. 


Removing Permission Responses

If a parent/guardian would like to change their permission response, it must first be removed from the profile. Follow the below steps to action this:

  1. Go to the Student tab, and locate the relevant student. 
  2. Select "Actions" and "Edit" to open their record

  3. Open the Permissions tab
  4. Locate the question, and select Remove
  5. A confirmation pop-up will display, select "OK" to take this off
