This article will provide instructions on how to review and approve events within Consent2Go
Introduction
There are two stages of approval for an event within Consent2Go; Proposal and Planning. As an approver, you have the responsibility to review the event, and ensure that the organiser has provided and considered all necessary information as per school policy.
1. Approval Notification and Accessing the Event
When an organiser submits their event for approval, you will receive an email requesting your action. With one of below subject lines (depending on the phase of the event):
This email will include the below details for quick review:
- Event Name
- Description
- Date | Time | Location
- Participants | Organiser
It will also include a link that takes you directly to the approval view of the event, without needing to sign in.
If you are already signed in to Consent2Go, you will notice an alert bell at the top right of the page. Hovering over this will show you any outstanding approvals, and clicking on the drop down option will open the event.
Another way to locate events is via the Event Tab by entering the name of the event into the search bar:
2. Actioning the Approval
Now that you are in the event you can complete your review and approval.
Proposal
The proposal phase of the event is where organisers can provide a one page overview of their suggested event. Things to consider when approving a proposal could be:
- Does the date work with the school calendar? Has the organiser provided the right amount of notice?
- Has the organiser provided the relevant details (do you know by reading this what the event entails)?
- Are the correct students included, has the organiser consider the relief requirements?
- Are the transport requirements and budget information included?
Once you have completed your checks, click the “Approve” button. A window will pop-up in case there is any feedback you would like to provide the organiser.
Planning
The planning phase of the event is where organisers has provided all supporting information for their event. Including the activities included, transport required, students and staff involved, invitation creation and risk assessment.
- When completing your review for approval consider:
- Have the appropriate activities been added? Does the Itinerary look complete?
- Is the relevant transport information captured?
- Have the emergency details been included?
- Have the right students been included? Are the correct staff in the supervisory team?
- Is the parent communication clear, accurate and sufficient?
- Are there any outstanding risks?
Once you have completed your checks, open the Approval Tile.
To grant approval click the green “Approve” button and provide any necessary comments.
Rejecting the Approval
To reject a proposal, click the red x and provide a comment to the organiser with feedback as to why their event has been declined. This may be that they have chosen the wrong date, or not provided correct details in their outline.
Please note: rejecting an approval does not remove any information. All details will remain, it simply sets the status to “resend for approval”.
