Introduction
Approval Streams are a vital part of the events process, as it gives key personnel the ability to check event proposals and planning before giving feedback.
The approver can check to ensure the event staff are completing all the required information and that they provide the necessary details before giving the OK. If staff do not provide what's needed for approval, the approver can reject the event to allow corrections to be made.
Approval Streams Tab
To view the Approval Streams Function, click the '>' arrow besides 'Events', then select 'Approval Streams.'
Adding & Editing Approval Streams
Follow the steps below to add an approval stream, and edit approvers within:
- To add Approval Streams select 'Add New' and enter the required name (this is what organisers will see when sending their events for approval)
- Once the stream has been created, you can then assign personnel for each event type. To do so, click the purple pencil icon to edit
This section allows you to assign staff to both proposal and planning. You can arrange these according to your school needs - Once the required information is input, click Save and repeat with each event type in the approval stream
An example of an approval stream may be:
- First Approver: Head of Department
- Second Approver: Finance Officer
- Third Approver: Deputy Principal
Things to Note
Some things to note when creating an Approval Stream:
- You do not need to fill all 5 approvers
- You can leave the name and email blank, which will prompt the staff to fill these in at the time of creating an event.
- By ticking the ‘Confirm’ box besides the approvers name, this will prompt the system to send them an email every time they complete an event approval.
- Please ensure you complete all sections of the approval streams as required by your school
- A reminder email can be scheduled to send to the approvers if they have not yet actioned their approval. Select the Reminder field beside their approval line and enter a date value (1,2,3,5). Once chosen, the organiser will receive a prompt email x days after the initial approval if this has not yet been given.
Once an Approval Stream has been created, it can be viewed by selecting the dropdown box at the top right of the screen.
